01Managing your entries

Add an entry

  1. Tap the + button.
  2. Fill in the form — be sure to give the entry a title.
  3. Save it with the disk icon in the toolbar.

Edit an entry

  1. Tap the entry you want to change in your password list.
  2. Tap the edit (pencil) icon in the toolbar.
  3. Make your changes and save.

Delete an entry

  1. Tap the entry you want to remove.
  2. Tap the trash icon in the toolbar and confirm.

Assign a category

  1. Open the entry and tap edit.
  2. Pick a category from the Category field, then save.

Assigning more than one category to a single entry is a Pro feature.

Copy a field to the clipboard

  1. Tap the entry to open its details.
  2. Tap the copy icon next to the field you want (e.g. the password).

For your safety, the clipboard is cleared automatically a short time after copying. Note that this isn't guaranteed on every device — some manufacturers and Android versions handle clipboard access differently, so it may not work everywhere.

02Backup, restore & transfer

The most reliable way to keep your data safe — or move it to a new phone — is the encrypted database file. Unlike CSV and XLS files (which are meant for spreadsheets), the .db file is fully encrypted, so it is safe to store anywhere, including your own Dropbox or Google Drive.

Back up your vault

  1. Open the app and log in.
  2. Go to Menu → Export/Import → Database → Backup database.
  3. Choose where to save the encrypted .db file — locally or to a cloud app.

Restore your vault

  1. Open the app.
  2. Tap Restore Database on the login screen.
  3. Choose the .db file you exported earlier.

On some Android versions the file picker hides device storage by default. If you can't see your file, open the picker's menu (⋮ in the top-right) → Settings → enable Show internal/SD card storage.

Move to a new device

  1. Back up the database on your current device (steps above).
  2. Transfer the file to the new device — directly, or via Dropbox / Google Drive.
  3. Install Password Safe and tap Restore Database, then pick the file.

Because the app works offline by default, there is no automatic transfer — unless you have turned on cloud sync, you need to move the backup file yourself.

Reset the database

If a database can no longer be opened and you have no backup, you can clear it and start fresh:

  • Android. Open system Settings → Apps → Password Safe → Storage → Clear data.
  • iOS. There's no "clear data" option, so delete the app from your Home Screen and reinstall it from the App Store to start with an empty vault.

This permanently deletes your vault on the device. Only do it as a last resort, and check for a backup first.

03Security

Change your master password

  1. Log in with your current password.
  2. Go to Menu → Settings → Security → Change password.

Set up biometric unlock

  1. Make sure a fingerprint or face is enrolled in your device's system settings.
  2. Log in, then go to Menu → Settings → Security → Biometric unlock.
  3. Tap Set up and confirm with your fingerprint or face.

A biometric does not replace your master password. You still need to remember it — it's required after restoring a backup, changing your password, or if the sensor ever fails. Biometric unlock is a Pro feature and must be set up again after you change your master password or restore a database.

04Print & export

Print your data or export to PDF

  1. Log in to the app.
  2. Go to Export/Import → PDF / Print → Export.
  3. Choose your destination — set up a printer, or save as a PDF.

Which file format should I use?

  • .db — database file. Fully encrypted and recommended for backups and moving to a new device. Keeps everything, including attached images.
  • .csv. For working with spreadsheet programs, on both Android and iOS. Not encrypted, so store it carefully and delete it when you're done.
  • .xls (Android only). A spreadsheet format available on Android. Like CSV it is not encrypted. On iOS, use CSV instead.

.xls import/export is an Android-only feature, and only the older .xls format is supported — .xlsx files are not. Excel/CSV import & export options also vary by Free / Pro.

05Sync entries to your watch

A smartwatch isn't built to hold your whole vault, so only the entries you choose are synced to it. This keeps the watch fast and the data on it to a minimum. It works the same way on Wear OS and Apple Watch.

Turn on watch support

  1. Go to Settings → Android Watch (or Apple Watch on iOS).
  2. Enable watch support.

Turning this on doesn't sync any entries on its own — because a watch shouldn't handle too many entries, you choose which ones to send (next step).

Add an entry to your watch

  1. Open the entry you want on your watch.
  2. Tap the watch icon in the top-right to add it to the watch.

Repeat for any other entries you'd like on your wrist.

Manage all watch entries at once

  1. Go to Settings → Watch → Manage entries.
  2. You'll see a list of all your entries — check or uncheck each one to add or remove it from the watch.

If you have many entries, setting them up from this list is usually faster than opening each one individually.

06Troubleshooting & FAQ

There is no backdoor and no recovery option — that's the whole point of zero-knowledge encryption. If your master password is lost, no one (including us) can recover the vault. If you have an encrypted backup, restore it; otherwise the database has to be reset and you'll need to start over.
This usually has one of three causes: the password really is mistyped; the database file became corrupted; or you tried to restore the wrong file — "Restore Database" only accepts .db files, not CSV or XLS. Corruption can be caused by task killers, custom kernels, system bugs, faulty memory or interrupted transfers. If it happens, restore a backup of your database; if you have none, the database must be reset.
Password Safe is offline-first and requests no internet access by default, so there's no automatic sync or backup. To bring your data over, restore the database backup you made. If you didn't make one and cloud sync was off, your data lives only on the old device — check it for a recent backup before wiping it.
The app supports .db (database) and .csv on both platforms, plus .xls on Android only. For backups and moving between devices, use .db — it's fully encrypted and keeps extra data like attached images that CSV/XLS can't hold. Use CSV (or XLS on Android) only when you need to work with a spreadsheet program; those formats are not encrypted.
Password Safe is available for Android and iOS, with a companion app for Wear OS. A macOS version is also available for Macs with Apple silicon (M1 and later), which can run the iOS app. There is no Windows version yet, though further platforms are planned.
XLS import is an Android-only feature, and only the older .xls format is supported — modern .xlsx files aren't. Re-save your spreadsheet as .xls and try again, or export to CSV (CSV works on both Android and iOS).
Pro isn't a separate app — it's an in-app purchase that unlocks extra features (the "Upgrade to Pro" button disappears once it's active). If the licence isn't recognised, the store sometimes caches the state: restarting the device usually clears it. Also make sure you installed the app with the same account that made the purchase. If you use several accounts and still have trouble, email us — and always back up your database before reinstalling.
No. Purchases are tied to the app-store account that made them, so as long as you use the same Google or Apple account, Pro carries over to your other devices at no extra cost. If it isn't recognised at first, see "I bought Pro but don't see the features" above.
On iOS you can share the Pro upgrade through Apple Family Sharing, which is handled by Apple. First set up your family group following Apple's guide. Then, on the family member's Apple device, sign in with the Apple account that has been added to the family and go to Settings → Pro Upgrade → Restore (at the bottom of the screen) to restore the family purchase. Note: family sharing is an Apple feature — it is not available on Android.
